Remote Advising Zoom User Guide

ISSS uses Zoom for remote open advising with international students and scholars. In order to access the Zoom open advising sessions linked below, you must have a valid CSU eid and password and must download and log in to Zoom.

If you cannot log in with your CSU eid and password, please contact isss@colostate.edu for assistance.

Instructions for accessing Zoom open advising

If you have not already installed Zoom before joining the session, you will be prompted to do so after you click the link.

Before clicking the open advising links, please make sure:

  • You are in a quiet location without background noise
  • You are in a location in which you feel comfortable with advisors sharing personal academic and/or immigration information
    • Please consider using earphones to increase privacy in shared spaces
  • Your internet connection is strong
  • Your device’s audio and video capabilities are functioning properly

Once logged in, you will be brought to the waiting room.

Please Note:

You should not need to sign in to Zoom. If you see a Zoom “Sign In” screen, please try one of these solutions:

  1. Close Zoom and click the appropriate Open Advising link again:
  2. If you do have a Zoom account, you can log into Zoom using your Zoom credentials. These might differ from your CSU eID and password.
  3. If you have tried the above options and still have trouble entering the waiting room, please reach out to ISSS for a meeting ID.

Waiting to be admitted to the advising session

When you access your open advising meeting, you will automatically be put in a waiting room. At this time, please test your computer audio and video to ensure they are working properly. IF YOUR AUDIO AND/OR VIDEO ARE NOT WORKING PROPERLY, THE ADVISOR MAY REMOVE YOU FROM THE SESSION.

Please be aware – there is no way to determine how long it will take for the advisor to see you or how many people are ahead of you in the queue. Advisors will work as quickly as possible while attending to all student concerns. If you think your situation will take 15 minutes or more, please schedule an appointment with an advisor.

You should remain ready to speak with an advisor when you are admitted. If you are admitted to the session and are not responsive, you will be placed back at the front of the waiting queue. If you are repeatedly unavailable or unable to connect your audio/video, the advisor may remove you from the session.

As long as you have accessed the waiting room before the end of open advising hours, the advisor will see you. If you access the waiting room after open advising hours, you will have to wait for the next available open advising session to speak with an advisor.

When admitted to the open advising session

Before speaking with the advisor, you will need to make a selection on the Join Audio screen which should look like the image below:

Once connected, the advisor must verify your identity before beginning your session.

When your session is complete, you may leave the meeting or the advisor will remove you from the meeting. If you want to meet again with the advisor, you will need to follow the same procedure as above and rejoin the waiting room.
